Refund & Cancellation Policy

How to cancel each plan, when the cancellation takes effect, when a refund is available, and what happens to your reports and photos afterwards.
1. The short version
Cancel from your dashboard in one click, at any time, with no fee. You keep access until the end of the period you have already paid for. The $2 Day Pass is not refundable once the day has started. A first Landlord or Portfolio subscription carries a 7-day money-back guarantee if you have generated fewer than 5 reports.
2. How to cancel
Open your dashboard, go to Billing, and select Cancel subscription. The change is confirmed on screen and by email. This works the same way on every plan — Day Pass, Landlord and Portfolio — and there is no phone call, retention interview or form to fill in.
If you cannot reach your dashboard, email contact@roomquill.com from the address on the account and we will cancel it for you.
3. When cancellation takes effect
- Day Pass — at the end of the current 24-hour period. You keep full access until that day ends, and you are not charged again.
- Landlord — at the end of the current 28-day period. You keep full access until that period ends.
- Portfolio — at the end of the current 28-day period. You keep full access until that period ends.
Cancelling stops the next renewal. It does not take away access you have already paid for.
4. No cancellation fee
There is no cancellation fee, exit fee or minimum term on any plan, ever. You pay for the period you are in, and nothing after it.
5. Day Pass refunds
The $2 Day Pass is not refundable once the day has started. Access is immediate and the price is deliberately low, so the charge is treated as spent as soon as the day begins. Cancelling stops the next daily renewal.
6. 7-day money-back guarantee
Your first Landlord or Portfolio subscription comes with a 7-day money-back guarantee. If you ask within 7 days of the first charge and you have generated fewer than 5 reports on that subscription, the charge is refunded in full.
The guarantee applies once per account, to a first 28-day subscription only. It does not apply to renewals, to a later plan change, or to a repeat subscription after an earlier cancellation.
7. Unused time on a 28-day plan
After the guarantee window closes, refunds are not given for unused time on a 28-day plan, and periods are not pro-rated. If you cancel on day 20 of a 28-day period, you keep access for the remaining 8 days and are not billed again.
The same applies when you switch plans: the change takes effect at the start of the next billing period, so no part-period refund arises.
8. Duplicate charges and technical failures
Verified duplicate charges are refunded in full. So is any charge for a period in which a technical failure on our side prevented you from using the service, once we have confirmed the fault in our logs.
This does not cover problems outside the service — no mobile signal at the unit, a device that would not upload, or a browser that could not open a sign-off link — although we will always try to help you recover the walkthrough.
9. How to request a refund
Email contact@roomquill.com with the email address on your account and the date of the charge. Say briefly which plan it was and, if you are claiming the guarantee, that you are within the 7 days.
We aim to reply within 2 business days. Approved refunds are processed within 5–10 business days and are returned to the original payment method. Your bank or card issuer may take a few days more to show the credit.
10. Chargebacks
If a charge looks wrong, contact us before opening a chargeback with your bank — it is almost always faster to resolve directly. When a chargeback is opened, the account may be suspended while the payment processor handles the case, and we will respond with the account, billing and usage records that apply to the charge.
Where a chargeback is raised in bad faith on a subscription that was actively used, we may decline to serve that account in future.
11. Your data after cancellation
After cancellation, your reports, photos and unit records remain viewable and exportable for 60 days. After that window they are permanently deleted and cannot be recovered.
If you have a dispute pending — a deposit claim, a tribunal hearing, an insurance matter — export the relevant reports and photos before you cancel, or before the 60 days run out. Once the data is deleted it is gone, and we cannot reproduce it.
You can also delete individual reports and photos yourself at any time while the account is open. The Privacy Policy explains retention in more detail.
12. Your rights under Ontario law
Nothing in this policy limits or removes any right you have under the Ontario Consumer Protection Act or other consumer protection law that applies to you. Where that law gives you a stronger right than this policy does, that law applies.
