1. What cookies are

A cookie is a small text file a website asks your browser to store. On the next visit the browser sends it back, so the site can recognise your session and remember settings. Similar technologies do comparable jobs: local storage keeps small values in the browser, and a pixel or tag reports that a page was loaded.

This policy covers all of them. Where it says "cookies", read it as cookies and similar technologies.

2. Categories used on roomquill.com

Cookies here fall into four categories:

• Strictly necessary — required to log in, keep a session secure, and open a tenant sign-off link. These cannot be switched off, because the site cannot function without them.
• Functional / preference — remember choices you have made, such as your last unit or display settings.
• Analytics — count visits and pages so we can see which parts of the site are used.
• Performance — measure load times, upload speed and errors so we can fix what is slow or broken.

Everything outside the strictly necessary category stays switched off until you turn it on in the cookie banner.

4. Third-party cookies

Two third parties set cookies through the site. The payment processor sets the cookies named above when you open a checkout or manage billing; they are used for payment security and fraud prevention and are treated as strictly necessary for that part of the service. The analytics provider sets its cookies only after you accept analytics in the banner.

These providers act under their own policies as well as our agreement with them. They may process data outside Canada. The Privacy Policy explains those transfers.

5. Your choices

On your first visit a banner asks how you want to be handled. "Accept all" turns on every category. "Reject non-essential" leaves only the strictly necessary cookies in place. "Manage preferences" lets you switch functional, analytics and performance on or off one by one and save that choice.

Your choice is remembered for 12 months. To change it at any time, use the cookie settings link, which also sits in the footer of every page. Clearing your browser's cookies clears the choice, and the banner will ask again.

6. Managing cookies in your browser

Your browser can also block or delete cookies for this or any site. The controls sit in these places:

• Chrome — Settings, then Privacy and security, then Third-party cookies and Site data.
• Safari — Settings (macOS: Preferences), then Privacy, where you can block cookies and manage stored website data. On iOS the same controls are under Settings, then Apps, then Safari.
• Firefox — Settings, then Privacy & Security, where Enhanced Tracking Protection and Cookies and Site Data are managed.
• Edge — Settings, then Cookies and site permissions, then Manage and delete cookies and site data.

Most browsers also offer a private or incognito window, which discards cookies when the window is closed.

7. What breaks if you block necessary cookies

Blocking strictly necessary cookies will stop you logging in and staying signed in, will break uploads and form submissions, and will prevent a tenant sign-off link from opening or a signature from being recorded. Checkout will also fail. Everything else can be refused with no effect on how the service works for you.

8. Changes to this policy

If the cookies we use change, this page and the table above are updated, and the "last updated" date changes with them. Where a new non-essential cookie is introduced, the banner will ask for your consent again.
